We are an Integrated, Prosperous and Peaceful Africa, driven by its own citizens and representing a dynamic force in the global arena.<\/p>\n\n\n\n<p>We are recruiting to fill the position below:<\/p>\n\n\n\n<p><strong>Job Title: Senior Records Assistant<\/strong><\/p>\n\n\n\n<p><strong>Requisition ID:&nbsp;<\/strong>1505<br><strong>Location:&nbsp;<\/strong>Addis Ababa, Ethiopia<br><strong>Reports to:<\/strong>&nbsp;Mail and Records Officer<br><strong>Directorate\/Department:<\/strong>&nbsp;Office of the Legal Counsel<br><strong>Number of Direct Reports:<\/strong>&nbsp;0<br><strong>Number of Indirect Reports:<\/strong>&nbsp;0<br><strong>Job Grade:<\/strong>&nbsp;GSA3<br><strong>Number of Positions:<\/strong>&nbsp;1<br><strong>Contract Type:&nbsp;<\/strong>Regular<\/p>\n\n\n\n<p><strong>Purpose of Job<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Responsible for ensuring that in-coming and out-going mails are received and processed accordingly on a timely basis as well as for ensuring that a reliable and efficient filing system is maintained.<\/li>\n<\/ul>\n\n\n\n<p><strong>Main Functions<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Provide timely operational support<\/li>\n\n\n\n<li>Implement operational activities as scheduled and report.<\/li>\n\n\n\n<li>Assist in the follow up on logistical arrangements, activity implementation and provision of updates.<\/li>\n\n\n\n<li>Liaise effectively with internal and external stakeholders.<\/li>\n\n\n\n<li>Follow up meeting decisions and correspondence outcomes and ensure their implementation.<\/li>\n\n\n\n<li>Prepare routine office communication and assist in compiling data and information for reporting purposes.<\/li>\n\n\n\n<li>Assist in the creation, improvement and maintenance of record and retrieval systems<\/li>\n\n\n\n<li>Follow up on provision and maintenance of office facilities and materials.<\/li>\n<\/ul>\n\n\n\n<p><strong>Specific Responsibilities<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Receive, register, process and forward in-coming and out-going mail\/correspondence to relevant addressee.<\/li>\n\n\n\n<li>Scan and digitize in-coming mail and records.<\/li>\n\n\n\n<li>Sort, organize, maintain, store and retrieve office records accurately.<\/li>\n\n\n\n<li>Create and ensure appropriate records electronically classification.<\/li>\n\n\n\n<li>Ensure records categorization according to the File Plan.<\/li>\n\n\n\n<li>File all physical files including personnel (open and confidential), financial, legal files, and ensure their safe custody.<\/li>\n\n\n\n<li>Ensure that accurate metadata elements of records are captured for upload onto the electronic records system for electronic filing.<\/li>\n\n\n\n<li>Create new folders and files and disposal of old files in accordance with the established retention schedule.<\/li>\n\n\n\n<li>Keep records safe and secure in a proper place.<\/li>\n\n\n\n<li>Maintain archives, ensure that files are properly stored and accessible<\/li>\n\n\n\n<li>Maintain a log of all outgoing files to ensure documents are returned in time.<\/li>\n\n\n\n<li>Service departmental meetings and ensure distribution of working documents to meeting participants.<\/li>\n\n\n\n<li>Ensure confidentiality and non-disclosure of records.<\/li>\n\n\n\n<li>Ensure that a reliable, accurate and efficient filing system is maintained in line with the Archives and Records Management Policy.<\/li>\n\n\n\n<li>Provide answers to queries by searching and retrieval of records.<\/li>\n\n\n\n<li>Maintain records system of files movements within the office;<\/li>\n<\/ul>\n\n\n\n<p><strong>Academic Requirements and Relevant Experience<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>A Bachelor\u2019s Degree in Office Management \/ Administration or Records Management from a recognized institution with 2 years relevant work experience in Registry\/Records Management or clerical duties. &nbsp;<\/li>\n<\/ul>\n\n\n\n<p>Or<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>A Diploma in Office Management \/ Administration or Records Management from a recognized institution with 3 years relevant work experience in Registry\/Records Management or clerical duties.&nbsp;<\/li>\n<\/ul>\n\n\n\n<p>Required Skills:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Sound planning and organizational skills<\/li>\n\n\n\n<li>Excellent verbal and written communication skills.<\/li>\n\n\n\n<li>Capacity to work under pressure<\/li>\n\n\n\n<li>Time management capabilities<\/li>\n\n\n\n<li>Ability to maintain confidentiality and non-disclosure of information.<\/li>\n\n\n\n<li>Competence in the use of standard software such as MS Word, Excel, PowerPoint, etc.<\/li>\n\n\n\n<li>Ability to work in multi-cultural team<\/li>\n\n\n\n<li>Proficiency in one of the AU official working languages (French, English, Portuguese, Arabic) and&nbsp;
